Job Description Summary

We are looking for a dedicated technical documents specialist to join our team. The successful individual in this role would enjoy troubleshooting technical scenarios and taking initiative to create and test resolutions.

What You'll Do (Functions & Responsibilities)

  • Update forms and legal documents for property management, such as rental agreements, pet agreements, notices to pay rent, offers to renew a lease, etc.
  • Make detailed client and legal changes to forms in Word (and possibly other applications such as Adobe InDesign)
  • Proofread changes to ensure that they were made correctly 100% of the time and are free of errors
  • Use Adobe Acrobat Pro to add special hidden objects called "blocks" onto PDFs to indicate the location of electronic signatures, fields, radio buttons, and other form elements. These blocks take the form of small boxes that are drawn on the PDF using a special plugin called PDFLib. Each block has various properties such as size, location, font, ID#, name, etc., that communicate with our database-driven system. If a block is not set up exactly right, then data will not display on the PDF correctly when the PDF is viewed by the client from inside our system. Although no programming is involved, these steps are extremely technical and will require you to think from the perspective of a programmer as well as from the perspective of our clients
  • Upload PDFs into our proprietary software and place the forms into groups, lists, and packets that relate to specific clients, states, apartment buildings, etc.
  • Test the forms within our system to ensure they look correct and function properly
  • Review and test forms and related data-entry web pages to ensure that they are working together correctly, calculating values, and properly placing data onto the forms in the right locations
  • Communicate with clients about new forms, completion of form work, form change requirements, and other matters
  • Communicate with attorneys about legal changes to forms and be able to understand and follow their written instructions in a very detailed environment
  • Communicate with our programmers to instruct them what web pages to make that match our forms, then check their work and provide feedback until everything is perfect
  • Perform many other related tasks as required such as customer support, phone support, emails, live chats, quality assurance, software testing, design, finding attorneys, and other activities
  • Help manage our online document library of thousands of documents through our custom-built portal
Qualifications

What We're Looking For (Minimum qualifications)

  • Minimum 2 years' experience working with documents in a professional environment
  • Intermediate to advanced knowledge/experience in Word and Adobe Acrobat Pro
  • Proven attention to detail and ability to focus on and execute a large number of tiny technical changes that must be done with total accuracy
  • Comfortable in web-based software
  • Superior writing, editing, and proofreading skills
  • Ability to write detailed emails describing complex topics and to do so without errors or supervision
  • Ability to work from your remote office while maintaining a high degree of productivity
  • Demonstrated ability to prioritize and manage a large number of pending tasks for multiple clients without losing track of any tasks
  • Touch typing at least 50 wpm
  • Previous experience working in the multi-family or affordable housing industry and with property management software is strongly desired
  • Comfortable with the ever-changing priorities, deadlines, and job requirements of a rapidly growing company

Education Requirements

  • High School or GED required; Associates degree in Computer Science or similar field preferred
